Receptionist m / f

Aix-en-Provence region │ C.D.D. 35h /w │ To be filled immediately

A receptionist ensures the foundation of the relationship with our Customers which involves physical and telephone reception, management and execution of customer requests, and ensures the conservation of the optimal configuration of welcome in the business center.
It (it) is integrated into the company's communication policy and constitutes the image of the company vis-à-vis its visitors and customers of the business center: its presentation must be flawless.

 

│ RESPONSIBILITIES OF THE CUSTOMER MANAGER

FRONT DESK 

  • Leads and manages the organization of the business center reception point

  • Greet, inform and guide visitors

  • Manages access and electronic badges for members and visitors

  • Receives and processes internal and external phone calls and processes messages according to customer instructions

  • Receives letters, AR letters and parcels

  • Informs prospects on certain WORKING ROLLS ™ products and services until the signing of the standardized contract

  • Receives and processes requests from members of the center and coordinates related actions

  • Represent the welcoming image of WORKING ROLLS ™ with high-end customers.

BACK OFFICE 

  • Ensures and controls the optimal reception conditions of the business center (quality inspection of common areas, meeting rooms, Ékypé ™ flex office, small hotels)

  • Supervises the quality of work of the service and maintenance teams and informs the Operational Manager of any anomaly noted

  • Ensures the interface between Customers, and Management

  • Manages the communication of useful and contractual information to customers / managers by the means made available (SMS, email, mailing) and the display of the center

  • Delivers (and tracks) the delivery of products and / or services to residents of the center

  • Manages and ensures the dispatch of mail, parcels and the sale of postal and express products (UPS)

  • Provides the necessary secretariat (writing of letters under the validation of the Management, Direct mail, Updating of dashboards etc ...)

  • Create prospect / client files in the company's IT system

  • Occasional telephone follow-up from prospects / customers

  • Establishes a reporting of actions in progress

  • Checks the booking dashboard daily (Pertuis and Aix) in order to optimize customer visits

  • Establishes BRs

  • One-off services: Updates the monthly consumption sheets for the extras (allocation of all customer consumption)

  • Compilation of supporting documents relating thereto,

  • Validation of said sheets at the end of the month, then transmission to the Management Service for the last billing phase.

  • Charges the payments made at the Front desk in the CRM and or the ERP

  • Enter supplier accounts invoices and charge regulations in ERP

  • Participate punctually in the organization of events (cocktails, breakfasts)

PETITE HOTELLERIE 

  • Ensures the service of small hotels in meeting rooms and in relaxation areas (restocking)

  • Restock the center's vending machines

│COMPETENCIES OF THE HOST

  • A receptionist must have a knowledge of English and have an impeccable presentation (no piercing or visible tattoos).

  • Excellent presentation, smile, diplomacy, interpersonal skills, ease of speech and understanding, stress management ... so many essential elements to exercise this profession in the prestigious WORKING ROLLS ™ business center.

  • Hold a valid driving license.

│ TRAINING / EXPERIENCE

  • EXCLUSIVELY tourism B.T.S or 3 years experience in a business center with Regus, multiburo or Buro'Club.

  • Path with experience in customer service

  • 3 years minimum required in a similar position

  • Computer skills and new technologies (Microsoft Office pack)

  • Commercial experience in a B2B service company is a plus

  • Good level English required and mandatory

│CONDITIONS

  • CDI contract based 35h per week (hours 8:30am > 12am – 2pm > 5:30pm

  • Monthly remuneration: € 1,600 gross + € 200 in bonuses if objectives are reached
